Cancellation Policy and Terms & Conditions for our general holidays/stays at Bert’s Kitchen Garden, Bert’s Bryn Ifan and Bert’s Cottages. 

Thank you for booking your holiday with us to stay at Bert’s KG. We know this is the boring part but please take a couple of minutes to read through our cancellation policy and terms and conditions as they contain important information that forms part of the contract between you and Bert’s. 


Cancellation policy for all accommodation

We take a 30% deposit at the time of booking.  At this point your holiday is considered confirmed and the following cancellation charges come into effect.  You are strongly advised to ensure that you have insurance to cover cancellation or curtailment of your holiday.   At the point of booking & paying a deposit you are deemed to have accepted our terms and conditions. We will ask you to pay the balance for your holiday 8 weeks before your arrival date. After request for payment in full, any cancellation will be charged at 100%. You may cancel your holiday with Bert’s KG LTD at any time; however the following fee structure will apply:

Incomplete payment/cancellation 

Where the balance of the payment for your holiday has not been paid 8 weeks prior to the commencement of your holiday, we will send you a reminder. If within 10 days of the reminder being sent the balance is still outstanding, Bert’s will be entitled to rescind the agreement, retain the deposit, and then claim against you all losses incurred. In the case of cancellation more than 8 weeks before the commencement of your stay only the deposit will be forfeited.  It is your responsibility to ensure you have appropriate insurance. We strongly recommend that you do.

Administration charge 

We reserve the right to levy an administration charge of £50 for amendments to your booking arrangements in addition to any other charges applicable. In principle, amendments are not permitted within 4 weeks of your arrival date.

The Kitchen Garden is a Bert's Camping club only site. If you are not already a member, please select the annual membership fee from the extras menu.

In order to comply with countryside planning policy we operate as a Bert's Camping Club- only campsite. When you book your holiday with us you will be enrolled as a Member of the club. There is currently no fee for the membership.

Bert’s Terms & Conditions 

Dogs 

Dogs are NOT allowed on the campsite or in the huts. They are welcome on a lead in the Kitchen Garden and terrace if you are joining us for a meal or drinks.
No dogs or pets of any kind are allowed any where else onsite with the exception of guide dogs. Please speak to a member of staff before booking with a guide dog so that we can make sure your stay is as comfortable as possible. 

Camping Check-in & check-out:

Check-in: 3.00pm-9.00pm on the day of arrival.  

Check-out: By 11am 

If you think you will be arriving after 8.00pm please contact:

If you arrive after 9pm we reserve the right to charge £25 late arrival fee for each unit of accommodation you have booked.   If you know in advance that you will be arriving after 9pm please let us know & we will add the late arrival fee to your booking. Late arrival is not guaranteed and if not pre agreed with management you maybe refused access to the site until reception opens the following day.


Hut and Glamping Check- in & check out:

Check-in: 4.00pm onwards  

Check-out: By 11am

Pre-Authorisation & Online Check-in

On the day of your arrival we will pre-authorise the payment card for Hut and Glamping accommodation only. 

The pre-authorisation is a temporary hold of funds on a credit or debit card, so we recommend that a credit card be used.  This is to cover any incidentals, loss, damage or extra cleaning incurred by your party to our accommodation or property.
The pre-authorisation is not a charge and no funds will be debited from your account; however your bank statement may show the pre-authorisation as a pending transaction. 

When you give us a credit/debit card, the pre-authorisation guarantees us that the funds are available to pay for any charges incurred during your stay or loss/damage to your accommodation.


Parking

 All vehicles must be parked in the parking area. Please car share wherever possible. Please note the site is a car free site and cars are not allowed in the meadows. There are a number of wheelbarrows in the car park to take your luggage to the pitches. Please return the barrows back to the car park when you have finished unloading. You are strictly limited to one car per pitch. All additional cars will need to park offsite and are subject to an additional fee. Carts and barrows must not be used other than for unloading.

Smoking

No smoking or vaping is allowed on any of the Bert’s sites or in kitchen garden.

Guests

Only those guests originally booked are permitted to stay on site. Any extra guests will only be permitted on site at the site owner’s discretion. If extra guests are permitted to stay, then extra charges will be incurred. Bert's also needs to know about any day guests (ie. those not staying the night). They will also need to be registered and are at the discretion of the management.


Group bookings & parties

No groups of more than 2 pitches are welcome on site without prior consent from Bert's KG LTD and its management team.

We welcome friends & family gatherings by prior agreement only, but parties are not permitted in any accommodation at any time.  If you would like to hold a celebration or party at any of our sites, then please contact us as we may be able to arrange something for you in our communal areas (venue hire charge will apply).


Behaviour

In order to make everyone’s stay at Bert’s enjoyable, all guests are requested to be considerate of others.
Inappropriate or anti-social behaviour may lead to removal from any and all of the Bert’s sites without a refund of the rental sum or any part of it. 


Noise 

Bert's is an eco-camp and disturbance of nature and other guests should be kept to a minimum please, particularly after 10pm. The noise levels are at the discretion of the site managers. At Bert’s Kitchen Garden the area around the restaurant and the firepit can be used until the bar closes. No amplified music is permitted on the campsite at any time. We reserve the right to cancel the remaining booking of any guests or groups who cause complaints from other guests or If anyone does not respect the rules and polices of the site,  the Site Manager and their team reserve the right to refuse them admission or ask them to leave the site at any time. If you are asked to leave under these circumstances, no monies will be refunded.


Cleaning

Please leave your pitch and all facilities clean & tidy, or additional charges may be incurred. When it's time to go home, please leave no trace of your stay in the camping fields, so that other people and wildlife can continue to enjoy this unspoilt site.

Rubbish and recycling 

Recycling facilities are provided throughout the site, please recycle everything possible. Guide notes are provided for the waste types in each bin. The goal is zero waste and as little plastic as possible on site. No bulky packaging or broken camping gear can be disposed of on site.

Deliveries

We do not accept or take responsibility for deliveries for guests on site- this includes supermarket deliveries. Deliveries can be made to local collection points. NO PACKAGING can be disposed of while on site.


Kitchen Garden


We keep our kitchen garden stocked with vegetables, fruit, herbs and edible flowers during the growing season. This is for the use of the restaurant kitchen to enable us to make our delicious dinners. You are welcome to admire our garden, but please do not help yourself to our produce.


Fire Precautions 

Please make your group aware of fire notices and the location of fire extinguishers etc. The assembly point is by the bins.

Fires & BBQs - Disposable BBQs are not allowed (they scorch the ground and create a lot of non-recyclable waste).

Firewood and charcoal - Please don’t gather fire wood from around the site; fallen wood provides natural habitat, and damp or rotting wood burns smokily.


Wood-Burning Stoves 

Wood-burning stoves may only be used once whoever is designated to operate the stove has read the instruction sheet and has signed our confirmation of instruction and disclaimer form. Operating / lit wood-burning stoves are not to be left unattended at any time.

For your own safety, only wood and kindling should be burned in the wood-burner. Do not burn any rubbish or any other form of fuel or firelighters in the wood-burner.

A supply of wood is included for accommodation with wood-burning stoves. Additional supplies of wood and kindling may be available, during times when the site is serviced, for a reasonable charge.


Loss of keys

If you lose your accommodation key we will charge you a flat rate of £30 for any additional keys lost.  This covers the cost of getting the keys re-cut and also our time to get them done


Liability 

A. Bert’s accepts no liability for theft, loss or damage, of whatever nature, during or as a result of your stay. 

B. The person who books assumes responsibility for any other guests within his/her party, their companions, their children and any others invited by you or them to the site. You and all members of your party are jointly and severally responsible for all loss, damage or injury which may arise, for Bert’s KG LTD or any third party, as a direct or an indirect consequence of your party’s stay. 

C. If your accommodation or equipment is left in a poor condition resulting in additional cleaning, repair or replacement, you may be charged to cover the costs incurred. 

Force Majeure 

Where we need to cancel or change your booking as a consequence of circumstances beyond our control, our liabilities are limited to offering alternative accommodation (including alternative dates, where available). We cannot pay any compensation or meet any expenses or costs you may incur as a result of any such cancellation or change. "Force majeure" means any circumstances beyond the reasonable control of Bert’s including, without limitation, an act of God, fire, flood, natural or nuclear disaster, adverse weather conditions, war or threat of war or acts or threat of acts of terrorism. 


Complaints 

Should you find you have any complaint during your stay at Bert’s please notify us immediately and we will do all we can to rectify the problem. Please refer the matter to the duty manager if you feel it necessary. Should you remain unsatisfied please notify us in writing within 7 days of the end of your stay. 


Disclaimer 

  • It is your responsibility to ensure you and all members of your party are familiar with our terms and conditions.

  • It is your responsibility to ensure you and all members of your party are covered by appropriate insurance.

  • Camping can be dangerous. Although every care is taken in managing the various facilities, such as fire pits, wood burning stoves, camping gas stoves and open water, Bert’s cannot be held responsible for any loss or damage arising from any misadventure associated with any activity.

  • By completing a booking with Bert’s you agree to observe our guidance and recommendations and take full responsibility for your own safety.

  • By completing a booking with Bert’s you and all members of your party are deemed to have accepted our terms and conditions.
